  15. Cover letters
    As mentioned previously, application letters and cover letters are not the same. A cover letter identifies an item being sent, the person to whom it is being sent, and the reason for its being sent. A cover letter provides a permanent record of the transmittal for both the writer and the reader.

    In a cover letter, keep your remarks brief. Your opening should explain what you are sending and why. In an optional second paragraph, you might include a summary of the information you are sending. A letter accompanying a proposal, for example, might point out sections in the proposal that might be of particular interest to the reader. The letter could then go on to present a key point or two explaining why the writer's firm is the best one for the job. The closing paragraph should contain acknowledgements, offer additional assistance, or express the hope that the material will fulfill its purpose.

    The following are examples of cover letters. The first letter (Sample #1) is brief and to the point. The second letter (Sample #2) is slightly more detailed because it touches on the manner in which the information was gathered.

    I am an undergraduate research assistant working with Professor Farrell in the Engine Research Center. My project is the interaction of gas-fuel phase injection with a strong swirling flow. This project also considers the effect of swirl on homogeneous combustion. In this work we have made two-component velocity measurements using laser doppler velocimetry. I have enjoyed the experimental work in the Engine Research Center very much, and if I were interested in automobile engines, I would continue my work there after my baccalaureate degree.     Business letters, in general, are difficult to write as they usually contain important message and can be used as legal document. Letter of Dismissal, in particular, is very difficult to write as you must be specific and firm. Before we go into the structure of the letter, let us have a look at the example below:

    After a careful investigation, I have concluded that you have violated the company's policy by granting loans to individuals known to you and your family without evaluating their assets. This misconduct is made more serious when the situation persists after two written warning to you and to your supervisor.


    In light of these facts, you are being dismissed from your position from ABC Bank, effective immediately.


    If you have any questions or need clarification, please contact me. Please be advised that your salary to date will be paid into your account at the end of the month. You have the right to request a review of this action by filing an appeal. A copy of the procedures for appeal is attached.

    We have been on the topic of resignation. This week we will look at a leaving note, from the person leaving the company for whatever reason. Before leaving a company, you should writer a memo to announce your leave and to express your appreciation to your colleagues.

  28. Letter of Recommendation

    A letter of recommendation is not difficult to write if you are confident in the person for whom you are writing. The letter should write itself. However, if you feel uncomfortable to recommend someone or feel that you are not in the position to provide a good reference, you should turn it down. Please refer to last week's examples.
    Essential information on a letter of recommendation includes the nature of your relationship with the candidate (how did you know him/her, how long have you known him/her), followed by the qualities appreciated. You should stress your confidence in recommending the candidate at the end of the letter.
    Here is an example of recommendation letter, written by a professor on behalf of a student.

    Dear Sir/ Madam,

    I am writing this reference at the request of Miss Sarah Walker, who is applying for a place in your PhD's program in Applied Linguistics.

    I have known Miss Walker for two years in my capacity as her academic supervisor at University of Washington. Miss Walker also took courses in Conversational Analysis and Sociolinguistics from me and earned grades A in both classes. Based on her grades, well-written term papers, good attendance and class participation, I'd rate Miss Walker academic performance in my class as excellent.

    Miss Walker is interested in feminism and cognitive linguistics and appears to possess the intellectual curiosity and aptitude to be very successful in this area. She is goal-orientated and has demonstrated a great sense of priorities. She has a positive attitude towards education and was a gem in my classes.

    I highly recommend Miss Sarah Walker to your PhD program. I am confident that she will be a positive addition to your school.

  29. Authorization Letter

    Authorization letter is mainly for legal purposes. For instance, when you cannot collect some important document by yourself and send a representative, you need to issue your representative with an authorization letter. All it says is that the person can act on your behalf, whatever the business is.

    Imagine you are applying for a visa and using a visa and passport agency. You will need to sign a letter of authorization. A standard phrase to use is

    'I authorize …… (name of person or agency) to submit my application to…… (the organization, such as the U.S. Embassy) and to collect my passport on my behalf.'

    'This letter entitles …… (name of person or agency) to enter my residence and move my property to the new premise at the address given below.'

    I, … (your name) hereby authorize ABC hospital to release medical information form my personal medical records to … (name).

    I give my permission for my research to be used for educational purposes.

    This kind of letter is very short. In many cases, one sentence is sufficient. The most important thing is for you to sign and date the letter.

  30. Complaints

    Writing an effective letter of complaint is very difficult. When you are not satisfied with products or service received, you should write a letter to the service provider. You should state what the problem is and what can be done to improve the situation without being rude or too emotional. Living in England, I happen to be an expert in this kind of letter. I have had a lot of practice. Here is an example of a real letter sent to a train company in England.

    Dear Sir/ Madam,
    I wish to make an official complaint regarding your pitiful on-line booking service. On the 7th of August, I ordered a return ticket from the on-line seat sales, travelling from London to Nottingham on 13th August. By the 12th of August, these tickets have not arrived. Calls to your customer helpline achieved nothing more than endlessly being held in queues. The next morning, I went to St. Pancras early in hope of getting replacement tickets from the staff. Having spent 20 minutes in the queue and with the train I had to catch about to leave, I was forced to purchase another set of tickets from one of your machines. Imagine my lack of surprise upon returning to London the next day. I found, waiting for me, the tickets postmarked on the day that I was travelling.

    What is particularly galling is that this is not the first time this has happened to me. Is it too demanding for you to put the tickets in the post in time for me to use them?

    I enclose the relevant tickets. Needless to say, the very least I require is the refund of the second tickets purchased. I would also like your assurances that you would improve your services, at least bringing them up to third-world standard.



    In this letter, I was very firm in saying that ‘I wish to make an official complaint regarding…your service’. I then explained the difficulties experience in buying train tickets online. It is effective to sound firm and demanding. Remain your politeness as you make a complaint. Do not just complaint for the sake of it. Before ending your letter, you should suggest how your complaint be dealt.

    You might find some of these expressions useful:
    I am writing in response to the poor service I received at ….
    I wish to make a complaint regarding… the late delivery, defective goods, rude staff.
    Would it be possible for you to…?
    I would like you to look into the matter and pay me the correct amount of my refund.
    I demand a personal apology from the personnel involved.
    I would appreciate your timely response concerning this matter.

    I would be grateful if we could bring this matter to a close.
    If you have not responded to me about this matter within seven working days from the date of this letter, I shall be making a formal complaint to… the banking ombudsman.

  31. Congratulations (on Special Occasions)

    Besides congratulating someone on his/her achievements, you can also send a note or letter of congratulations on special occasion; for instance, engagement, wedding, anniversary, new home, or retirement.


    Similar to the letter of congratulations, which we covered last week, first you should state the reason why are writing the letter; i.e., stating the occasion you wish to congratulate the recipient on. Then you can offer your congratulations. Finally, end with kind words of friendship or consideration.

    I heard that this Monday 5 January will mark your 35th wedding anniversary, and I wish to congratulate you on your everlasting marriage. You give hope to all of us that true love does exist.

    Writing letters never ends. Once you have received a letter offering condolence, you should reply with thanks when you are in the state fit enough to communicate. However, keep it short. Do not share details of your difficulties.


    Below is an example of such reply. It is in relation to the letter from Lynn Young expressing her sympathy towards the Browns’ family regarding the loss of their son.

    Dear Ms. Young,

    We thank you for your heartfelt condolence. We truly appreciate your kind words and cannot thank you enough for your kind support at the funeral.

    Once you have been to a party, you should send the host a thank you letter. It can also be sent after you have received a present.


    Thank you letters or notes are very easy to write. First of all, you should mention the event attended or present received. Then you should express your gratitude or compliments. Before, you end your letter, you should express your thanks once again. It sounds a bit redundant, but you will be happy to receive well-written thanks yourself.


    Below is an example of a thank you letter to the hosts of a party.

  34. Making Invitations


    Similar to making an announcement is an invitation. In some cases, you can do both in the same letter; for instance, announcing an opening of a new business and inviting guests to the event.


    Below is an example of a party invitation:

    You do not have to get to the point right away; you can make an introduction to the topic. For example, in the above letter you can say:

    Then you have to make and invitation. You may use these following expressions:

    We would like to invite you to the grand opening of our South-East Asian headquarter.

    In the invitation, you must give important details of date, time, and venue.


    If you have a special request for your guests—such as dress codes--, you should include it in the letter. In the above letter, the guests are requested to dress formally in white, and make a menu selection. But most importantly, the guests are requested to reply whether or not they can come to the event. ‘RSVP’ is short for ‘Repondez s’il vous plait’, which means ‘Please reply’.

    Normally, people do not write letters to give personal advice. When advice is needed, people best talk face to face and in confidentiality. Nevertheless, this week we will look at some advice from an 'Agony Aunt' to look at some expressions you may use when giving advice. An agony aunt is usually a persona in a newspaper or column, giving advice regarding health, social etiquette, and relationship.

    Below is an example of a personal problem, followed by an advice. Both of them are fictional.



    Dear Agony Aunt,

    I am 17 years old and I am gay! I don't know whether or how to tell my parents. Do you think that I should wait until I am a little older before I tell them?   40. Refusing to Write a Reference Letter


    Last week, we started a new topic, reference letter. You need a reference letter from your professor or employer when you apply for a job, school or scholarship. Last week, we looked at how you can write to the referee to request a letter of recommendation. This week, we will approach the topic from the point of view of a referee.

    When you are asked to write a reference letter, you may feel that you do not know the person well enough to provide a good reference, or that you cannot say anything good about the person. If these are the case, you should refuse to write the letter, rather than providing not so good reference.

    The example below is a reply to the letter requesting reference from last week.



    Dear Miss Wilkinson,
    I feel that I am not the suitable person to comment on your academic performance, based on one project and information from your transcript. If I were to provide you with the reference, I would be making the judgement from second hand information similarly to the decision makers at Alberta. Although I gave you an A for your project, that was my evaluation of the particular project, not on your overall performance. You would optimize your chance of being accepted more if you asked someone more qualified than I am.





    The letter below is from a previous employer with whom a candidate worked only for a short time, in reply to the letter from last week.



    Your request for a letter of recommendation from our firm cannot be granted. While the work that Mr. Anan Kongman performed for us was always satisfactory, we do not feel that it would be fair to you, Khun Anan or our firm to evaluate his personality and capabilities based on a two-month tenure of employment.

    If any inquiries are made of us, we will reply most favorably. We are sorry we cannot be of any assistance at this point.

  41. Dealing with Complaints (2)

    Last week, we looked at how you can acknowledge complaints when you don't have time or enough information in replying to them. Now it's time to face the music. We will look at some examples of reply letters to complaints.
    Replying to complaints is the most difficult letter to write because most of the time, you have to offer apologies and make compensations. It is even harder when complaints are not justified.



    This week, we will look at how you can deal with complaints when you are obviously in the wrong. Let us have a look at an example:





    Dear Ms. Bell,

    Thank you for writing to us on …. Please accept my apologies for the problems you experienced with our Contact Centre.

    By way of apology, I am enclosing travel voucher to the value of ?24.44-being the full cost of your additional tickets. These vouchers are valid for one year and can be used as full or part payment towards a future rail journey-either with Midland Mainline or with another train operating company.
    Tickets are posted at least five days in advance and are addressed in line with the information provided at the time of booking. However, as you may imagine, the centre processes many thousands of tickets each day and, from time to time, it is inevitable that a small percentage may take a bit longer than normal to arrive. Where tickets have not been received, customers are advised to telephone the centre to arrange for replacement tickets.

    However, I do realize that it may have taken longer than normal to get through. The Contact Centre were experiencing problems with new telephone system that was installed, and there were a few teething problems. These have now been resolved and queuing times have now been reduced.   42. Rejection Letter

    You probably have seen a few rejection letters but never written one. This week we will look at how to break bad news to job applicants.


    After finding the right candidates for the position, you should inform other unsuccessful candidates as soon as possible. Make your rejection clear. Give your reasons, but do not say anything negative.

    Here is an example:
    Dear Mr. Jones,

    Thank you for applying for the Research Assistant post in the Centre for the History of Science, Technology and Medicine.

  43. Congratulations


    When you have heard good news from or about your friends, colleagues, business partners or clients, you should send them a letter or a short note to compliment and congratulate them on their success.


    First of all, you would like to tell them the purpose of your letter. You can state a specific achievement on which you wish to compliment the recipient. You can also add specific details in praising the recipient’s characteristics that lead to his/her success. Then you might end the letter with wishes. Let’s have a look at the following example:

    Dear Kim,

    I was not surprised at all to learn that you have finished your master’s degree with distinctions. Your hard work and strong determination is known to all of us at IBM. On behalf of the IBM sales team, I would like to congratulate on your outstanding achievement and wish you all the best for the future.

  44. Offering Condolence


    In one of the examples in the last column, somebody missed a social engagement because of a death in his/her family. To take up on that theme, this week we will look at letters giving condolence.


    When your colleague, friend or acquaintance has had bad news: i.e. divorce, losing parents, child, spouse, pet, losing jobs, or having a terminal illness, you should offer your sympathy. One way to do it is to send the person a letter offering condolence as in the example below :

    Dear Mr. and Mrs. Brown,

    I am sorry to have learned about your son's untimely passing. I wish I could offer more solace to both of you.

    Please accept my sincere condolence for your loss.

  45. Replying to an Invitation


    When you receive an invitation--whether or not it says ‘RSVP’--you should reply. If the invitation is informal, you can reply via telephone; however, it is more polite to reply to formal invitations in writing.

  46. Making Announcements


    This sounds rather grander than it is. Giving information to general public is a more humble way to put it. For instance, if your office has moved to a different address, you will have to inform your correspondence. Another example is when you launch a marketing project or arrange an event. Making announcements is similar to ‘advertising’.


    The example below is an interoffice announcement of a new staff.

    As of 1 November 2003, Ms. Catherine Brown will join our sales team as an assistant product manager. Ms. Brown has valuable experiences in sales, accounting and product analysis. In her spare time when she is not after hard sales, she enjoys swimming and playing tennis.

  47. Arranging Meetings


    With today’s technology, we rarely write a letter; let alone arranging an appointment via letters. Nevertheless, letters are still in use. They are good for keeping records, especially when they are sent to many people.

    I have made thirteen records with Camerata Silesia, the last one with Emma Kirkby from the concerts in Poland. Concerts included were, G G Gorczycki's Completorium and J S Bach's Kantata's Nach dir, herr verlanget mich BWV150.


    I was involved in Milcotaj Zielenski's offertoria et communiones, which won a nomination for the Fryderyk 1996 'Record of the Year Award' in Studio Magazine. This piece is a fine example of early Polish music, such as Barttomiej Pekiel's Missa Pulcherrima (1997).

  50. Asking for Advice

    Asking for advice is similar to the letter requesting information. It can be more personal as advice involves personal attitudes, rather than straightforward information. First of all, you should introduce yourself and the situation requiring advice. Then you should emphasize that comment, advice or help is needed. Be as specific as you can, regarding how the recipient can help you. Finally, express your appreciation or anticipation of a reply.


    Here is an example of letter, asking for advice.

    Dear Sir/Madam,


    My grandmother left me with an antique set of silver cutlery with your trademark on it. They were given to her as family heirloom, and they are about 80 years old. Unfortunately, a couple of pieces are damaged, and some are missing. I was wondering if you could, first of all, identify the pieces and give an estimation on their current value. Please refer to the attached list and a photocopy of the pattern of the cutlery.


    Secondly, could you please tell me whether I can get the damaged pieces repaired and how much it will cost, and also whether I can acquire new pieces to complete my set? I understand that this may be difficult for you given the time lapsed. However, I really wish to preserve this family heirloom.

  51. Thanking someone for the letter of recommendation

    After you receive a letter of recommendation as requested, you should thank the person writing it. This also lets him/her know that the letter safely arrives.


    If you are the person for whom the recommendation is, you should thank the person for providing a reference. This will also maintain a good relationship between you and the referee and ensures good reference in the future. A short thank-you note will be sufficient. Some new whether or not you are successful with you application will be appreciated as well.

    Dear Professor Needham,


    I wish to thank you for providing with a reference letter to apply for a place for a masters' degree. The application deadline is 15 April; however, I will not find out the results until June 2004. I will keep you posted.

    If you are a prospective employer or school, this may not be necessary. However, it is a nice gesture to send the referee a thank you letter.

  52. Requesting a Letter of Recommendation

    When you apply for a job, scholarship or a degree, a letter of recommendation forms a main part of your application. You may personally ask your former employer, or professor who are well aware of your work or academic performance. Be sure to give your referee enough time and information to provide a good reference.


    In requesting a letter recommendation, you should give information regarding why you need the letter, who the recipient is and when you need it. Here is an example:

    Dear Professor Needham,
    I am applying for a place in the International Relation Master Degree's program at the University of Alberta. I have already forwarded my application to the University although the deadline is on 30 April 2004. As a project supervisor who is aware of my academic progress, would you be kind enough to write a letter of reference on my behalf?

    Please send your letter directly to the University of Alberta. An addressed and stamped envelope is provided for you.

    I am also enclosing a photocopy for the application and a portfolio of my projects done last semester, along with a copy of my transcript. I hope that these will provide sufficient information about my work.

    Here is another example of a letter requesting reference. When applying for a position, you may be asked for names of referees and the organization you are applying to will contact the persons directly.

  53. Dealing with Complaints (1)


    Complaint letters are difficult to write. However, reply to one is more difficult. No matter how offensive the letter of complaint is, you have to deal with it politely and tactfully. Sometimes it is not possible to deal with the complaint right away; therefore, you should send a letter acknowledging the complaint and offer an initial apology or concern.


    Below are some examples of real letter I received as reply to my complaints :

    From a bank :

    Thank you for you letter of 15 January 2004, although I was sorry to hear that you have had a cause to complain.


    In line with Financial Services Authority regulations, we will aim to get a full reply out to you within 28 days.


    From a train company :

    We acknowledge receipt of your letter, received on 28 December 2003.


    Thank you for taking the time and trouble to write to us. We realise how important it is to provide a quick response, particularly if customers have had a bad experience.


    Although we do hope to do so sooner, you should receive a full response within 20 working days of receipt of your letter. Please bear with us as due to a number of instances of severe delays recently, we have experienced an increase in correspondence and are taking longer than we would like to respond.


    If you have any queries or concerns that are of an urgent nature, please contact our Customer Service Team on 08457 221 125.

  54. Resignation Letter

    When you have decided to quit your job, whatever the reasons, you need to hand in a resignation letter. This is not just a matter of courtesy. It is required by law that you give your employer advance notice.


    This is another difficult letter to write well. Therefore, you would like to keep it short and to the point. You will need to include the effective date of your resignation, an explanation for resigning and a brief positive comment about the company. Many people think the explanation and brief comment is not necessary. They are right, but it would be great if you could give them as this is to maintain good relationship with your former employer.

    Here is an example:

  56. Apologizing

    You have been invited to a party. You said you would go, but the party took place without you. You will have some explaining to do.


    When you miss an important event; i.e. a social gathering or an appointment, you should apologize and offer an explanation. You should do so as soon as possible, maybe on the phone. To make it more formal, you should write to the host to apologize.

    I am awfully sorry for not being able to attend your party last Friday despite the confirmation given to you the week before. This is due to a family misfortune.

  58. Refusing appointments

    Refusing appointments is very difficult to do since rejections are normally offending. However, there will be times when you have to do it.


    Before looking at the example below, let me give you a context of this letter. Recently, many embassies have changed their policy regarding visa applications. They no longer accept walk-in applicants. You will need to send a copy of your documents and arrange an appointment with them.


    Here is some bad news for Mana Meesak when an embassy refuses to grant him an appointment.

    Dear Mr. Meesak,

    Thank you for your visa application. Unfortunately, we cannot arrange an interview for you for the time that you require. We are fully booked for the next three weeks. We do advise you to make your future applications well in advance before your trip.

    โครงสร้างหรือรูปแบบของการเขียนจดหมายสมัครงานมีมากมายหลายรูปแบบ แต่ที่สำคัญคือ ควรจะต้องระมัดระวังในเรื่องของภาษา สำนวน หลักไวยากรณ์ ต้องมีความสละสลวยพอสมควร และในที่นี้จะแบ่งโครงสร้างของจดหมายออกเป็น 2 ประเภท คือ

    1. โครงสร้างจดหมายที่มีประวัติย่อแนบไปด้วย ( COVERING LETTER )

    เหมาะสมสำหรับผู้ที่มีประสบการณ์มากๆ ควรจะเขียนเป็นจดหมายซึ่งจบใน 1 หรือ 2 หน้ากระดาษ แล้วมีประวัติย่อแนบไปด้วย เพราะถ้าหากต้องการรวมรายละเอียดทั้งหมดเข้าไว้ในจดหมาย ก็จะทำให้จดหมายฉบับนั้นยาว ซึ่งนายจ้างอาจไม่สนใจที่จะอ่านอย่างละเอียดก็ได้ หรืออาจจะใช้กับตำแหน่งที่มีความรับผิดชอบสูง เพื่อความน่าเชื่อถือ

    2. โครงสร้างของจดหมายที่ไม่มีประวัติ ( APPLICATION LETTER )

    เหมาะสำหรับผู้ไม่มีประสบการณ์มาก่อน โดยเฉพาะอย่างยิ่งผู้ที่เพิ่งสำเร็จการศึกษามาใหม่ๆ หรือไม่เช่นนั้นนายจ้างเพียงแต่ระบุว่าให้ส่งจดหมายสมัครงานพร้อมรูปถ่ายเท่านั้น เมื่อเป็นเช่นนี้ก็อาจเขียนจดหมายสมัครงานในรูปแบบนี้ ซึ่งก็รวมรายละเอียดอื่นๆ เข้าไว้ คล้ายกับจดหมายที่มีประวัติรวมอยู่ด้วย

    10 คำถาม ที่เค้านิยมจะถามกัน โดยมากที่คุณ ควรจะเตรียมพร้อม เพราะอย่างน้อย ถ้าไม่ได้ คำถามอื่น ก็ยังพอมีคำถามที่เราตอบแล้ว ฟังดูเข้าท่าเข้าทางบ้าง ฉะนั้นคำถามที่คุณ ควรจะรู้ มีดังต่อไปนี้


    1.ทำไมคุณจึงอยากทำงานที่นี่

    การที่จะทำงานทีไหนก็ตาม ผู้สัมภาษณ์จะต้องถามความเป็นมา ว่าทำไม คุณต้องการ ที่จะทำงาน ในบริษัทของเค้า และคำถามนี้ก็เป็น สิ่งที่คุณควร ทราบ และคุณก็ควรจะรู้ถึงเหตุผลของคุณอย่างแท้จริง ไม่ไช่ตอบไปสุ่มสี่สุ่มห้า เช่นคุณอาจจะตอบว่า

    คำถามนี้จะง่ายมาก สำหรับน้อง ๆ ที่ยังไม่เคยทำงานมาก่อน แต่จะเป็นคำถาม ที่ยากมาก สำหรับคนที่เคย มีประสบการณ์ ในการทำงานมาแล้ว และเป็น คำถามที่ตรงประเด็น มากเลยทีเดียว เพราะหากคุณพอใจ ต่องานที่ทำอยู่ คุณคงไม่ต้องหางานใหม่ ทำหรอกจริงไหมล่ะ คำถามนี้จึงเป็นคำถาม ที่คุณ ต้องเตรียมตัวอย่างมาก เลยทีเดียว ตัวอย่างเช่น

    10. คุณมีข้อสงสัยอะไรอีกไหม
